Exhibitor Registration (Booth Personnel)

As an Exhibitor, your company receives ONE COMPLIMENTARY FULL CONFERENCE REGISTRATION and ONE COMPLIMENTARY EXHIBIT HALL ONLY REGISTRATION to the Annual Conference for each 10’x10’ booth space. Use the Exhibitor Registration and Exhibit Hall Only Registration forms for your complimentary registrations. Your completed forms should be e-mailed to conferences@cfma.org or faxed to 609-452-0474 no later than April 26, 2017 to avoid a $150 late fee.

You can upgrade one Exhibit Hall Only Registration per 10’x10’ booth to an Exhibitor Full Conference Registration for a $500 fee.

Any additional booth personnel not planning on attending sessions need to register by completing the Exhibit Hall Only Registration form (please complete one form per person) for a $250 fee. 

If additional company representatives would like to attend sessions, they must register as full attendees and pay the member/non-member registration fees.

All Exhibitor Registration Forms MUST be completed by April 26, 2017 to receive your complimentary registrations. Any registration received after April 26, 2017 will be assessed a $150 late fee.

Prize Drawings in the Exhibition Hall

Would you like to increase your visibility, generate valuable leads, and create excitement with Conference attendees? You can do so by donating a prize for our Prize Drawings in the Exhibition Hall! Simply download the Prize Drawing Information for complete details and the form to complete if you are interested in this opportunity. The form must be completed and returned no later than Monday, April 3 if you would like to participate as no exceptions or extensions will be granted. All prizes distributed during Exhibition hours must be given during the prize drawing.

VIP Pass for Local Prospects

Do you have prospects in the Phoenix area who you would like to invite to meet with you at the Exhibition?  Send them the VIP Exhibition Pass Form to grant them FREE access to the Exhibition! All they need to do is complete the VIP Exhibition Pass Form and bring it to CFMA’s Conference registration desk to obtain their complimentary pass allowing them access to the Exhibition to meet with you.

Certificate of Liability Insurance Requirements

Per the Exhibit Space Rules & Regulations, CFMA requires a certificate evidencing Comprehensive General Liability Coverage from each Exhibitor by April 3, 2017 (60 days in advance of the show move-in date). Please forward a current copy to conferences@cfma.org.

CFMA does not need to be listed as an additional insured on the certificate. Exhibitor acknowledges that CFMA, CFMA’s designated exhibition services contractor (GES), audio/visual company (Dyventive), and JW Marriott Phoenix Desert Ridge Resort and Spa, do not maintain insurance covering exhibitor’s property and that it is the sole responsibility of exhibitor to obtain business interruption and property damage insurance covering such losses by exhibitor. Exhibitor expressly waives any claims it may otherwise have against CFMA for business interruption or damage to any property.

If you are using a third party Exhibitor Appointed Contractor (EAC), both you and your EAC are required to produce a COI. In addition, each EAC must maintain workers compensation insurance in the minimum amount of two million dollars.

Important Onsite Information to Remember

  • All exhibits must be set up and ready for inspection by 1:00 p.m. on Sunday, June 4, 2017.
  • No exhibitors will be allowed to set up their booths after 1:00 p.m. on Sunday, June 4, 2017.
  • Badges must be worn at all times; badge swapping/loaning is strictly prohibited.
  • All exhibits must be dismantled by 5:30 p.m. on Tuesday, June 6, 2017.
